If you run a tutoring center — whether it is 20 students or 500 — you have probably hit the point where spreadsheets just do not cut it anymore. Missed invoices, double-booked tutors, parents calling to ask about their child's schedule — the admin work piles up fast.

The good news is there are now several solid software options built specifically for tutoring businesses. The bad news is they are not all equal, and picking the wrong one means paying for features you do not need or missing ones you do.

We spent time inside TutorBird, Teachworks, TutorCruncher, and TutorVela to give you an honest breakdown. We looked at real pricing pages, tested the feature sets, and compared them across the things that actually matter when you are running a tutoring center every day.

Quick Verdict

TutorBird
Best for: Small to mid-size tutoring businesses in the US, UK, or Australia

Polished interface, good parent and student portals, reliable scheduling. Pricier than alternatives and no built-in CRM for lead management.

Teachworks
Best for: Established tutoring agencies needing detailed reporting

Feature-rich with solid payroll tools and a well-known name. The interface feels dated and setup has a steep learning curve.

TutorCruncher
Best for: UK-based tutoring agencies with high tutor count

Marketplace and agency hybrid. Powerful but complex, and pricing jumps quickly as you scale. Not the easiest for non-technical owners.

TutorVela
Best for: Growing tutoring centers, India-based businesses, CRM-driven sales

The only tool with a built-in lead pipeline. Flat pricing from $15/month. Full Razorpay support for India. Parent portal on all plans.

TutorBird — Detailed Review

TutorBird has been around long enough to iron out most of the rough edges you would expect from early tutoring software. The interface is clean, the onboarding is straightforward, and most tutoring centers can get up and running within a day or two. That is not nothing — a lot of competitors make setup feel like a project.

The student and parent portals are genuinely well-built. Parents can log in, see upcoming sessions, view invoices, and pay online. Students have their own separate login. This matters if you want to reduce the volume of "when is my child's next session?" messages you get every week.

Where TutorBird falls short is anything to do with sales and lead management. If someone fills out your enquiry form, TutorBird treats them as a contact — not a lead you are actively working to convert. There is no pipeline view, no follow-up task system, no way to track which stage of the enrollment process a prospect is at. For centers that actively market themselves, this is a real gap. You end up managing leads in a separate spreadsheet, which defeats the purpose of having an all-in-one tool.

Pricing is on the higher side — expect to pay $29 to $99 per month depending on your student count. It is not the most expensive tool on this list, but it is not cheap either when comparable features are available elsewhere for less.

What works well
  • ✓ Clean, polished interface
  • ✓ Parent portal and student portal
  • ✓ Embeddable enrollment forms
  • ✓ Reliable scheduling and reminders
  • ✓ Good onboarding experience
Where it falls short
  • ✗ No CRM or lead pipeline
  • ✗ No Razorpay or INR support
  • ✗ Price increases with student count
  • ✗ Limited reporting depth

Teachworks — Detailed Review

Teachworks has been a staple in the tutoring software market for years, and it shows — in both the depth of features and the age of the interface. It is comprehensive. You can track student progress, manage tutor payroll, handle complex billing scenarios, and generate detailed reports. If your center has been running for a while and you need software that accommodates your existing workflows, Teachworks will probably fit.

The learning curve is steeper than most alternatives. New staff members often need a proper walkthrough before they can navigate it confidently, which is not ideal if you have any turnover. The interface has not kept pace with what modern SaaS tools look like, and some workflows feel like they were designed years ago and never revisited.

On the parent communication side, Teachworks has a parent portal and sends automated reminders. It does the job, but it is not the kind of portal a parent opens and thinks "this feels modern." For most tutoring centers that is fine — parents care more about accuracy than aesthetics. But if you are positioning your center as a premium service, the parent-facing experience matters.

Pricing starts around $39 per month and scales upward. Like TutorBird, there is no lead management or CRM — it is purely an operational tool, not a sales tool.

What works well
  • ✓ Deep reporting and payroll tools
  • ✓ Handles complex billing scenarios
  • ✓ Well-established with broad support
  • ✓ Parent portal included
Where it falls short
  • ✗ Dated interface, slow to navigate
  • ✗ No CRM or lead management
  • ✗ Steep learning curve for new users
  • ✗ No Razorpay or India support

TutorCruncher — Detailed Review

TutorCruncher is a different kind of product. It started as software for tutoring agencies — businesses that act as a marketplace, matching tutors with students and taking a cut. That origin shapes everything about how it works. If you run that kind of agency model, it is genuinely powerful. If you run a tutoring center where you employ your tutors directly, you will be paying for a lot of features you will never use.

The platform handles complex multi-party billing well — charging parents, paying tutors, keeping an agency margin. It has a tutor marketplace component where tutors can create profiles and clients can browse them. This is valuable if your business model relies on client-tutor matching at scale.

The downside is complexity. TutorCruncher is not the kind of software you open and figure out in an afternoon. The number of settings, the interconnected workflows, and the terminology it uses take time to learn. Some tutoring center owners find it overwhelming compared to simpler alternatives. And the pricing is usage-based, so costs can climb faster than expected as you grow.

It is UK-based and priced primarily in GBP. For India-based or US-based centers, currency handling can be a friction point.

What works well
  • ✓ Excellent for agency or marketplace model
  • ✓ Complex multi-party billing handled well
  • ✓ Tutor marketplace capability
  • ✓ Strong UK market presence
Where it falls short
  • ✗ Overkill for standard tutoring centers
  • ✗ Steep learning curve
  • ✗ Pricing scales fast with usage
  • ✗ No CRM, no Razorpay support
  • ✗ Not India-friendly

TutorVela — Detailed Review

TutorVela is the newest entrant on this list and the one most worth watching. It covers the full operational stack — student and tutor management, session scheduling, attendance, invoicing, parent portal, progress reports, payroll — but adds one feature none of the others have: a built-in CRM and leads pipeline.

The CRM module is genuinely useful for tutoring centers that market actively. When a new enquiry comes in — through your website form, a WhatsApp message, a phone call, a referral — you can add them as a lead, assign a stage (New Enquiry to Trial Booked to Enrolled), track follow-up tasks, send emails from inside the platform, and log every interaction in an activity timeline. You can view leads as a list or switch to a Kanban board. Most tutoring software assumes you already have a full student roster. TutorVela also handles the selling process before someone becomes a student.

For Indian tutoring centers, TutorVela is the only option on this list with native Razorpay integration and INR pricing. The software is priced in both USD and INR — the Starter plan is Rs. 999 per month — and handles Razorpay payment links, UPI, and card payments. That is a practical difference if your parents pay in rupees and you do not want to deal with dollar conversion.

The parent portal lets parents log in to view their child's schedule, download invoices, read progress reports, and pay online. Admins can enable portal access per family directly from the dashboard and send a branded invite email in one click.

To be honest about the limitations: TutorVela does not yet have a student portal (it is on the roadmap), and as the newest platform here, it has fewer integrations with third-party tools than Teachworks or TutorBird. If you need to connect your tutoring software to QuickBooks right now, TutorVela is not there yet. But for the core job — running a tutoring center efficiently — it holds its own against tools twice its price.

What works well
  • ✓ Built-in CRM and leads pipeline (unique)
  • ✓ Razorpay support and INR pricing
  • ✓ Parent portal on all plans
  • ✓ Embeddable enrollment forms
  • ✓ Flat pricing from $15/month
  • ✓ Modern, clean interface
  • ✓ 15-day free trial, no credit card
Where it falls short
  • ✗ Student portal not yet available
  • ✗ Fewer third-party integrations
  • ✗ Newer platform, smaller user community

One thing worth noting on pricing: TutorBird and Teachworks charge based on how many active students you have. So if your center grows from 50 to 150 students, your monthly bill goes up significantly even if you are using the same features. TutorVela uses flat plan-based pricing — you know exactly what you will pay as you scale, with the Pro plan covering unlimited students.

Which One Should You Choose?

🇺🇸🇦🇺🇬🇧
You are in the US, UK, or Australia with 20 to 100 students and want something easy to set up
TutorBird is probably your best starting point. It is clean, well-documented, and has solid parent portals. You will outgrow it if you care about lead tracking, but for day-to-day operations it works well.
🏢
You are an established center with complex billing, payroll for multiple tutors, and deep reporting needs
Teachworks has the depth for this. It is not pretty, but it handles complicated billing and payroll scenarios that simpler tools struggle with.
🇬🇧
You run a tutor agency in the UK where tutors and students find each other through your platform
TutorCruncher was built for this. No other tool on this list handles the agency-marketplace model as well.
🇮🇳🚀
You are in India, or you actively market your center and need to manage leads not just current students
TutorVela is the only tool built for this. Razorpay and INR pricing for Indian centers. A full CRM with pipeline and kanban for sales-driven centers. And at $15/month, it is the most affordable full-featured option on this list.
